Administrative Associate


Organizational Setting and Work Relationships

The Administrative Associate is responsible for the office management in assisting the concerned manager in the implementation of general administrative and resource management tasks.

The Administrative Associate is normally supervised by a (Senior) Administrative Officer or a National Administrative Officer who defines general work objectives and provides necessary advice and guidance. The incumbent may supervise some support staff. S/he keeps frequent contacts with staff at various levels in the office and occasionally with staff at the same level in other duty stations and/or Headquarters; with local suppliers and/or officials and/or partners on subject matters which may be of importance to the Organization.

They do so within their delegated authorities, in line with the regulatory framework of UNHCR which includes the UN Charter, UN Staff Regulations and Rules, UNHCR Policies and Administrative Instructions as well as relevant accountability frameworks. Nature of Position:

The Administrative Associate plays an important support role within the RBAP and across the region by primarily assisting the Administrative Officer in a range of key operational areas. This position is crucial to ensuring the smooth and efficient functioning RBAP administrative processes as well as support for the regional administrative activities.

Regional Bureau is managing central processing of ticketing for the international travel for 11 operations in the Region through use of single travel agency.  The Administrative Associate is responsible for providing dedicated support in Travel Management across the region, including ticketing and coordination for staff in the operations in finalizing the ticketing options.  The Admin Associate will be responsible also to provide reporting and analysis for the regional travel support  as well as troubleshooting the possible technical issues in ERP travel  module.

Additionally, the support to Workshop/Meeting Management activities, including planning, setup, and execution to ensure effective training and meetings is expected to be carried out by the incumbent. The Regional Bureau co-locates with outposted HQs divisions and as such the Administrative Associate will also provide required liaison with divisions for administrative support for facility related issues. The role also involves assisting with Asset and Fleet Management to maintain accurate records, optimize resource utilization, and ensure the proper maintenance of assets within the region.

Furthermore, the Administrative Associate acts as a backup to the Finance Unit, providing support in processing financial transaction, generating reports, and other related functions as needed primarily for the Regional Bureau and the operations on a need basis. Overall, this position requires a proactive, organized, and flexible individual capable of handling diverse administrative functions to support the organization’s operational objectives effectively.
