- Welcome customers in Ooca clinic and contact relevant staff members to greet and invite such customers over to a more relevant place.
- Respond effectively and politely to enquiries and concerns from customers and visitors.
- Oversee day-to-day operations of the clinic, including appointment scheduling, customer flow, and resource allocation to ensure a smooth, opening/ closing the clinic and efficient customer experience.
- Handle customer complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution.
- Answer to customer's email, phone, Chat Line, and WhatsApp requests and process payments with customers
- Onboarding doctors to clinics and tools.
- Records of customer interactions, process customer accounts and file documents.
- Provide accurate and helpful information to customers regarding our services.
- Inform as soon as necessary and appropriate on crisis management and/or emergency. situation. Quick-thinking in challenging situations
- Maintain customer-centered approach by addressing customer concerns, resolving issues, and consistently improving customer satisfaction.
- Work as goal-oriented and directly reports to the Clinic and operations Manager.
- Perform all other duties assigned by manager or reporting line.
Requirements
- Welcome new graduates.
- Bachelor's degree in healthcare administration, Business Administration, or a related field.
- Experience in any related role is an advantage.
- Minimum of 1 years of experience in administration, with a proven track record of successful clinic management.
- Exceptional organizational and multitasking abilities, with attention to detail and a commitment to quality.
- Excellent hospitality, communication and interpersonal skills, with the ability to collaborate effectively.
- Demonstrated problem-solving skills and the ability to make informed decisions under pressure.
- Flexibility to adapt to changing circumstances and evolving Mental Health trends.
- Quick Learner, open-minded, tech-savvy, and like to learn new things.
- Basic use of Microsoft office (Word, PowerPoint, Excel and etc.) or Google Workspace tools, i.e., Google Doc, Google Sheets, Google Slide, Google Drive, and Panda Doc (for signing documents)
- Service-minded and polite
- Good command of both speaking and writing in English
- Working 6 days per week, may have to come to work on Saturdays, Sundays or holidays, depend on duty at the Ooca Clinic in shifts. Clinic officially opens from 11AM - 8 PM.
