Purpose of the Job
The main responsibility of this role is to manage the material planning documents for both internal and external suppliers and to follow up the whole delivery process until the material is well-received, making sure that the material data is accurately maintained, the stakeholders are informed of the delivery and the materials are delivered at the right time and place based on Company needs.
This role will also need to work closely with suppliers in order to have a full visibility on material deliveries, monitor supplier’s performance and drive the improvement plan. Therefore, report creation, data visualization and data analysis are another area required to be performed by Material Planner.
Key responsibilities
Material Planning Document Administration and Data Maintenance
- Internal suppliers: Manage Purchase Requisition flow up to Material Planning documents
- External suppliers: Follow up with Sourcing the Purchase Requisition level maturity in order to launch Material Planning documents
- Ensure and update the accuracy of material planning master data (in compliance with stock and logistic constraints)
- Create the Material Planning documents (Call-off, Schedule Agreement) & respective Source List
- Resolve Goods Receipts issues with the applied means of communication (overstock, shortage, damage, documentation, quantity mismatch, Invoices, etc.)
Material Delivery Follow Up and Material Planning
- Express delivery needs to Suppliers
- Communicate the Material Planning documents to Suppliers and follow Suppliers confirmation
- Analyze Suppliers confirmations vs. Company needs and evaluate the risk/impact anticipation on production/projects
- Follow up deliveries and ensure the availability of goods for Alstom projects
- Maintain delivery dates in ERP
- Identify priorities associated with risk/impact anticipation and set up recovery actions
- Maintain a routine with suppliers via email, meeting or call to check the status of deliveries
- Analyze and manage MRP exception messages and anticipate supply problems (backlogs, shortages, no demand).
Supplier Performance Management & Data Analysis
- Monitor Supplier's performances KPI's
- Analyze and share deliveries performances KPI's with different stakeholders (Internal & External)
- Collaborate with Material Planning Management/SDPM to validate worst Suppliers and define appropriate action plan
- Participate/lead to Supplier's performances improvement (animation)
- Create and develop various kinds of report and data visualization both on a regular basis and on demand.
- Perform data analysis and present the findings to stakeholders, including people from the management team
Continuous Improvement, Digitalization and GBC Academy
- Implement Digitization Tools - Artificial intelligence, Power BI and MS Power Platforms – to improve work productivity and efficiency
- Translate business requirements to digital solutions
- Provide data-driven advice to business
- Lead continuous improvement initiatives AND/OR Global Business Center Academy projects as assigned by line manager
Education
- Bachelor's degree in Business Administration, Marketing, Supply Chain, Arts, Humanity, Financial, Economics or any related field
Relevant experience required
- 0-3 years of experience as a BUYER or PURCHASER, or working in an EXPEDITING, ORDER PROCESSING, CUSTOMER SERVICE or OTHER related functions
- Desirable: Experience in SAP and MS Excel (pivot table and XLookup
- Understanding in Supply Chain concepts and process continuous improvement
- Strong communication skills in English
- For German speaking, strong communication in German
- For Italian speaking, conversational Italian
